Job Summary:

The Associate Project Manager will serve to assist senior Client Services peers through effective project management coordination and execution, as part of the Client Services Global Resourcing Team of individuals serving North America clients from other geographies. Successful candidates will have relevant experience in service delivery, preferably in eDiscovery, as well as a proven history of execution in a fast-paced environment.

 

The Associate Project Manager is primarily responsible for making sure the client receives the proper service through proactive attention to planning, analysis, execution, and proper close-out on a project. The Associate Project Manager is responsible for the day-to-day execution of the project including providing the client and their internal project teams with clear direction, according to the client’s requirements and company standards.

 

Essential Job Responsibilities

Correspond with the client on the project kick-off call led by project manager and document project timelines and workflows.

Ensure the entire project is running smoothly without any issues and risk to deadlines.

Proactively responding to client emails from multiple clients and acting on them within the timelines

Convert client requirements into operational work requests, monitor progress, and proactively provide updates to clients and project team stakeholders on deadlines.

Ensures client and project requirements are being met with the highest quality and accuracy through verifying and communicating routinely with both the client and internal partners.

Obtain, examine, and prepare client data for Intake.

Deliver media reports to the client, Coordinate FTP access setup for clients, User requests by coordinating with support teams.

Submit work requests to coordinate data ingestion and deliver reports to clients.

Coordinate with peer teams and clients for narrowing down search hit reports and promotion of data to review platform.

Assist in troubleshooting and resolving any client issues with delivered or hosted data.

Handle review platform (DMX or Relativity) specific items including but not limited to User requests, database management (archiving/deletion), creation of layouts/views/fields/choices/highlighting, creation, and execution of STR’s, creation and management of batch sets, reporting, creating, and delivering productions.

Correspond with the client to understand custom client needs and provide consultative solutions to meet their requirements.

Regular coordination with Project Manager and Team Lead to ensure the project is running smoothly and being delivered with the highest quality. 

Understand project budgets and obtain required approvals before incurring additional costs outside of project estimates.

Ensures continuity of client service between shifts by providing clear handoffs and client updates.

Participate in process improvement initiatives and collaborate with teammates to standardize and improve the customer experience.

Ensure effective control of all aspects of a project from initial planning through final production; development of project plans; balance overall client requirements; development of relationships; and review financial and billing information in a timely manner to ensure deadlines are consistently met.

 

Qualifications & Characteristics

  • Minimum two-year consulting, litigation support, paralegal or attorney experience in a law firm, corporate legal departments or eDiscovery service provider with an overall experience of four to five years.
  • Bachelor's degree or equivalent practical experience.
  • Hands-on experience with working on Relativity
  • Proficiency in PowerPoint, Excel and BI is highly desirable and an added advantage.
  • Demonstrated success in working on multiple simultaneous projects.
  • Oral and written communication skills that demonstrate a “white glove” approach to service. 
  • Client relationship skills which include the ability to proactively manage client expectations, recognize client needs, and adapt to consistently meet client requirements.
  • Capacity to learn quickly and adapt to changing industry trends.
  • Flexibility to work both night shift timings and occasionally on weekends is required.

 

Preferred qualifications/ requirements/ skills

  • Bachelor's degree/equivalent practical experience in a corporate industry.
  • 4+ years consulting, litigation support, paralegal or attorney experience with an eDiscovery Service provider or law firm, corporate legal departments.
  • Fully understands the eDiscovery market, as well as the EDRM and applies this knowledge to their day-to-day interactions.
  • Hands-on experience with working on Relativity and other document review/processing platforms. Industry qualifications such as Relativity Certified Administrator is a plus.
  • Demonstrated success in working on multiple simultaneous projects.
  • Exceptional oral and written communication skills that demonstrate a “white glove” approach to service. 
  • Client relationship skills which include the ability to proactively manage client expectations is required. Experience of working with North America Clients directly is highly desirable and an added advantage.
  • Capacity to learn quickly and adapt to changing industry trends in eDiscovery.
  • Advanced abilities in MS Office suite.

Working Hours

This is a night shift-based role for weekend coverage supporting Canada Clients. Flexibility to work in India night shifts (6 PM – 3 AM or 8 PM – 5 AM IST) and weekends is required.
