Executing flawless FM Operations

 

To be the single point of contact and responsible for facilities management, assisting the Account Manager and the Client Workplace team with the delivery of quality facility management services

 

Sr. Executive is accountable for the achievement of management Plan and all key performance indicators including responsibility for managing the capital and expense budgets.

 

Operations and maintenance, interface with senior managers in Client real estate / Facility team and business units. Coordination with other key managers with Clients and achieve customer satisfaction.

 

Key Responsibilities

 

  • Act as single point of Management Control for FM at Client site assigned for Technical & Soft Service Operations.
  • Oversee the operation, staffing, performance, and development of the Facilities Management service delivery staff.
  • Understand the Facilities Management scope and develop client specific processes and procedures in consultation with Account Manager and ensure implementation.
  • Support Clients in the implementation of short and long-term projects.
  • Review of vendor performances and suggest
  • To adhere to JLL / Client Policies, process & procedures, and the statutory documents.
  • To adhere to Client SLA & KPI as agreed with JLLM
  • To assist Facilities manager in all internal, external audits that happen at Client site and ensure necessary Documentation are done.
  • Preparing of 52-week planner and ensure that all activities are done as per the planner.
  • Establish engineering, Soft Services & operational procedures and roll out the same for site staff.
  • Establish contacts with local authorities on the facility related issues and maintain the relationship.
  • Responsible for all legal & statutory related compliances, pertaining to facility & engineering operations.
  • Review the maintenance/service practices of M&E contractors to deliver quality work practices in line with the manufacturer Recommendations.
  • Responsible for planning a critical spare for all installations as per manufacturer’s recommendations and inventory.
  • To provide comprehensive facility, contract, and procurement management for technical and soft service to the client.
  • Responsible for development of all maintenance related schedules & plan shutdown activities in consultation with Client.
  • Periodically inspect the logbooks, checklists, and PPM schedules for a better management of engineering system.
  • Work towards “Zero” down time and set up the practices to ensure the delivery of seamless service to clients.
  • Responsible for ensuring compliance on availability of all statutory obligations.
  • Responsible for setting up the maintenance contracts to ensure the risk mitigation to the client operations.
  • Assume the responsibilities of FM, as and when required.
  • Responsible for weekly & monthly reports on Soft Services, covering the maintenance contracts, spare parts Consumptions, incident reports etc.
  • Conducts daily internal walk-through to ensure all M&E equipment are in good order.
  • Monitoring of Job progress, job schedule and status.
  • Maintaining daily team communication/ relationship while on the job including dealing with client expectations.
  • Implementation of LOTO procedures and various other safety procedures required for sale operations.
  • Monitor the operation of M&E, Soft services vendor and ensure adherence to SLA’s
  • Communicate to the FM all incidents’ issues and pending problems.
  • Participate in emergency evacuation procedures including crisis management and business continuity.
  • Manage all health & safety issues and actively participate in health and safety reviews.
  • Ensure compliance with statutory regulations on fire, health, and safety standards.
  • Ensure on safety procedures, including crisis management/ business continuity and emergency procedures are Always maintained.
  • Smart sense dashboard monitoring and analysis.
  • Daily checking and reporting of check and mate completion/misses
  • FM check list to be updated on Daily Basis.
  • AMC / PPM to be updated and tracked down for closure on the E-fit Tool.
  • Any other additional responsibilities assigned from time to time based on the client scope deliverables

Ensuring smooth day-to-day operation is a responsibility that requires impeccable leadership skills. You will demonstrate this by overseeing our Fm operations and their scope of work. You will also work closely with everyone across the board--from superiors to peers and subordinates.

 

Aside from our internal teams, you will also be the main point of contact for our vendors for all maintenance services. Churning out reports will also be part of your mandate. In this role, you will monitor our FM activities and produce daily and weekly summary reports on these activities.

Education & Experience

 

Must have effective communication skills with any Bachelor degree and at least 6 years’ experience in the field.

 

Likewise, you must possess a strong working knowledge of policies, building maintenance and people management. Proven expertise in the principles and techniques of carpentry, electrical, plumbing, and general property management may also give you an edge in getting the job.
