Essential Duties and Responsibilities

The APAC MAC Manager works as part of a facilities team, their main function will be to coordinate the logistics of people/desks movements within the organisation, with detailed planning and flawless execution whilst also supporting the larger facilities team in its day to day operation, responsible for the following typical activities:

  • Work with the Client to manage and plan general desks moves (from individual to medium and large office moves).
  • Oversee the MAC teams across APAC, as applicable, to ensure a consistent delivery of services.
  • Manage local key stakeholders/EA’s and suppliers.
  • Prepare for/attend MAC meetings and compile specific and accurate MAC statistics/reports.
  • As required, supervise or perform moves out of hours (evenings or weekends)
  • Communicate clearly and professionally with business stakeholders, handle general internal queries, clarify concerns and identify solutions.
  • Maintain discretion and confidentiality with regards to all discussed MAC plans and dealings.
  • Generate and manage headcount forecasts with extreme accuracy.
  • Act collaboratively to solve problems and resolve spontaneous and unique situations with professionalism and service orientation.
  • Demonstrate responsiveness and creativity in finding solutions for service delivery
  • Seek to continuously improve processes, systems and overall client satisfaction
  • Handle & resolve MAC related Tasks promptly and accurately, provide timely responses and manage overall traffic.
  • Regularly work with external contractors, e.g. cleaning, IT, & engineers
  • Resolve problems associated with MAC requests including: permits, cleaning, parking, conference rooms, interior furnishings, fixtures and equipment.
  • Liaise with the client during the MAC to proactively action any last-minute requests
  • Manage assets – addition/removal/ordering of furniture and special equipment.
  • Assign desks for new hires in close liaison with relevant internal Clients.
  • Ensure accurate and detailed hand over is planned & passed on (for tasks for which being responsible), if absent from the business.
  • Work with the internal Task system to support facilities team in closing out tasks to SLA/KPI’s.
  • Work as part overall FM team on facilities related tasks
  • Ad hoc duties from time to time to support the rest of the facilities team

  • Proficient in MS Office applications, and possess excellent written and verbal communication and people skills
  • Ability to read and analyze floor plans/drawings/Space View

  • Previous experience of working in a fast-paced, multi-national environment

 

Experience

Minimum of 7 years in related role, in particular within a facilities, MAC and customer environment

Must be able to demonstrate flexibility in relation to type of works carried out and availability

Design and implement standard change procedures for the distribution and installation of patches and other routine tasks. Communicate and manage expectations during the planning and rollout of new Releases.   What you need to bring: 10+ years experience of working in an outsourced environment and supplier management against SLAs, monitoring change and release performance against service level agreements, and participating in effective working relationships to deliver continuous improvement. Experience of Change managing applications, end user devices, network infrastructure and services in an ITIL compliant environment. Experience of working in a secure environment. Understanding of the Standards & Models relating to ISO 27001, ISO 20000, CMMI. For eg: Data Protection, copyright, intellectual property rights, etc. Experience of building strong working relationships with a variety of stakeholders. Strong customer focus.
